Introduction: :
NDH SSD provides instrument reprocessing services and sterile supplies to the entire hospital including 20 wards, 18 functional units, and 3 remote clinics. It receives hundreds of contaminated reusable items for reprocessing and issues nearly thousands of sterile consumables and inventory instrument sets to stakeholders daily. The logistics for the workflow is highly depended on paper requisition forms and fax machines for communication, which is time-consuming and labor intensive. A pilot project aims to use of an electronic system to enhance SSD efficiency and reducing the heavy workload.
Objectives: :
• Simplify order steps to improve efficiency. • Improve communication between wards and SSD. • Reduce the risk of cross-infection when handling contaminated request forms for additional items. • Decrease clerical workload for data input. • Enhance data accuracy.
Methodology: :
The Design Sprint Methodology was used to design a management system. In June 2023, the first prototype of SSD sterile supply management system was set up, which is a web-based, self-hosting platform. The system was piloted in the OT and SSD in July-August 2023 and extended to the orthopedic ward and ICU in September 2023.
Result & Outcome: :
The sterile supply management system can enhance SSD workflow and save up to 1.5 hours in handling ward items. It reduces operational costs by up to $21,781 monthly if fully implemented. Also, it is totally paperless and environmental friendly. However, there are still have some logitics enhancement the system requiring IT department to support.
