Introduction :
In-patient service of New Kwong Wah Hospital (KWH) has been officially commenced since May 2023. Till January 2024, five nursing informatics (NI) projects including In-patient Medication Order Entry (IPMOE), Smart panel, Patients’ Belongings Tracking System (PBTS), Paperless Label Management with UPI and Scheduling (GCRS-PLUS) and e-Vitals are initiated and gradually reached 100% coverage in new KWH building within 9 months of time. Series of strategies were implemented to overcome the challenges.
Objectives :
1. To implement all NI projects in new KWH within move-in schedule timeline
2. To achieve annual plan target on smart hospital initiatives
Methodology :
1. A multiple-disciplinary approach was adopted to facilitate project planning and implementation. Dedicated task-forces and workgroups for individual projects were established to ensure effective communication and coordination. Explicit governance structure was in-place to monitor the progress.
2. Centralized equipment procurement and delivery improved the efficiency of hardware readiness. Prioritization of system installation among departments were well organized to fit the move-in timeline. Designated nursing team was assigned to coordinate and closely monitor the program.
3. Collaboration among Clinical departments, HAHO and local IT, pharmacy, Administrative and Redevelopment Planning Team to facilitate the readiness of infrastructure, networking, workflow, staff training and discussion on rollout plan.
4. Contingency plans were developed and drills were conducted. Rectification and modification were made to ensure a safe system implementation.
5. Evaluations of NI projects were conducted to identify risk factors and areas for improvement.
Result & Outcome :
IPMOE was first rollout in old A&E one month before move-in so as to eradicate potential risks. IPMOE and Clinical Information System (CIS) were successfully activated in the new ICU simultaneously. Full implementation of IPMOE in New KWH was completed in 6 months after move-in which was a significant achievement among other hospitals. ‘Smart panel’ was activated from the first move-in ward in the new KWH and completed 100% coverage for 1200 beds within 17 days’ move-in period. To consider frontline workload and sentiment, PTBS and GCRS-PLUS were started after a period of time with agreed schedules. Preparation of e-Vitals project was initiated in late 2023, and pending completion in April 2024.
New KWH move-in created a great opportunity for Smart Nursing Projects implementation. The above achievement demonstrated the essence of strategic planning, team spirit and staff commitment of KWH.
