Introduction :
Occupational Safety and Health (OSH) risk assessment will be performed annually under normal circumstances. However, there were multiple cases of staff injured on duties recorded in our department over the past years. Moreover, detailed logs of risk assessment form are vital for statutory examination by Department of Labor, HKSAR. Therefore, we have implemented bi-weekly OSH spot check in an E-smart way within Department of Oncology.
Objectives :
1) To foster staff safety and well-being 2) To evaluate occupational safety and health in our department 3) To supervise staff to comply standards, laws and regulations 4) To promote paperless practice and retrieve in an e-smart way
Methodology :
A work group was formed including Department Operations Manager, nurses and clerk. 6 risk assessment areas have been identified under consensus. We scheduled the spot check bi-weekly. Assessee will be randomly selected (including nurses and patient care assistants) and assessed by departmental OSH team.
On the other hand, we created and input in the Google Form for 6 risk assessment forms. iPad will be used when assessing the assessee by OSH team members. Once the form has been filled by assessor, it automatically sent an e-mail notification to OSH team head for monitoring the completeness, progress, close-loop communication and evaluating further training needs. All information will be securely stored in cloud drive with password. Post-assessment qualitative interviews have been conducted with both assessors and assessees.
Result & Outcome :
No staff injured on duties occurred during the spot check period. There were 95% satisfactorily pass for area in MHO and injection safety. Those 5% of assessees have been gone through further training conducted by departmental OSH members. Both assessors and assessees were satisfied and showed appreciation in terms of enhanced occupational safety and paperless risk assessment forms through an e-smart way.
