Introduction :
The integration of HA Ward Drive into Ward P2DM at United Christian Hospital in late March 2022 marked a significant advancement in the operational workflow. The introduction of HA Ward Drive enhances the daily routine of nurses and patient care assistants (PCAs), fostering a smart hospital environment in line with the Kowloon East cluster’s (KEC) direction.

Methodology :
HA Ward Drive is a cloud-based service and supported by HA Teams. Each ward has its own drive. HA Ward Drive provides functionalities such as document handling, co-editing documents, revision history, and file/folder sharing. These functions facilitated the transition to paperless environment for routine documentation. During the preparation phase, a designated person from the smart hospital functional group in ward P2DM assisted each nurse and PCA in app installation and shortcut creation for easy access on smartphones. A parallel approach was employed during the transition phase (1 month), using both traditional and paperless method for one month to acclimate staff to the new system. After ensuring that all staff were able to use the paperless version without difficulty, the hardcopies were phased out in favor of the digital version. Feedback was actively sought from staff to refine the process. Staff eventually became familiar with operating spreadsheet to document the ward routine record in two weeks. The templates were then stored in Ward Drive for internal storage. Users were able to operate and edit the spreadsheets using the ward’s tablet. A satisfaction survey was conducted one month after implementation.
Result & Outcome :
One-month post-implementation, the satisfaction survey reflected a 5.95 out of a 6-point Likert scale among users, indicating high acceptance of the paperless system. Noteworthy was the 100% adoption rate by nurses and PCAs, with unanimous agreement on the system's efficacy in streamlining and standardizing daily ward operations. To conclude, Ward Drive had optimized the operation workflow of nurses and PCAs at Ward P2DM.
