Introduction :
Previously, F&E management involved multiple parties documenting items separately and queuing to record data in a single Excel file, leading to inefficiencies. In the first quarter of 2022, ward P2DM at United Christian Hospital implemented the HA Ward Drive system as part of its lean management initiatives. Lean management aims to eliminate unnecessary procedures to improve the effectiveness of work processes. The features of HA Ward Drive offer opportunities to enhance operational workflows and support the smart hospital concept within the KEC cluster. In this connection, the ward aimed to streamline the decanting process and better manage facilities and equipment (F&E).
Objectives :
1. To reduce the time on unnecessary tasks associated with F&E management 2. To enhance the efficiency and agility of the ward decanting plan
Methodology :
After a ward decanting meeting, a designated person under the smart hospital functional group has introduced Ward Drive to decanting group members and provided platform usage training. Ward Drive is user friendly and Google Drive alike, so there was no need for a transitional period for the implementation of Ward Drive. With Ward Drive, simultaneous co-editing capabilities and internal data storage are leveraged to expedite data entry and allow remote access for management, for example, off-site F&E management for finding a particular asset number of an item and its location. During unpacking stages before the ward is re-opened, HA Ward Drive eliminates redundant procedures and streamlines the unpacking process by providing a quick search function for locating specific items.
Result & Outcome :
After implementing Ward Drive, the time for locating a specific F&E item was reduced from 10 minutes to just 2 minutes, significantly enhancing the agility of production processes. Colleagues have reflected that Ward Drive was user-friendly and enhanced communication during F&E management. The system has proven effective in minimizing the time and effort required for ward decanting operations, aligning with lean management principles and contributing to the hospital's transformation into a smart healthcare facility.
