Introduction :
Job descriptions in Theatre Sterile Supply Unit are highly differentiated and detail-oriented to deliver high quality service as to comply the international standards.

Inevitably, internal staff training program becomes a suffer to the supervisors who are responsible for staff training. Owing to the current practice of paper documentation, supervisors encounter with difficulties of organizing massive training materials, comprehending unclear handwritten entries, repeatedly reviewing staff training progress and paper record keeping. For staff, the training seems to be tedious and lack of direction in learning process.
Objectives :
The objectives of this project are to (1) Revamp internal orientation staff training program, offering a dynamic and engaging platform for staff development; (2) Empower staff to achieve their goals proactively and (3) Enable real-time determination of training progress via auto-charting which allows staff and supervisors to monitor their own development and identify areas that require further improvement.
Methodology :
An Automates Electronic Training System (eTraining) was locally developed by the author in 2023 using a programmed Excel tool to convert all paper documentation and scattered training materials into a single blanket system. It is easy accessible at anywhere, anytime and to anyone securely within the department.

Main features of eTraining include digitized training record entries, auto-retrieving training content and related training resources according to rank and duty area, auto-calculating target training/test dates to formulate an explicit training schedule, auto-charting and real-time monitoring of training progress and readily printable training progress summary.

Major features and user interface design were settled in Q1 2023 and the prototype of eTraining was produced in Q2 2023. Extra features e.g. hyperlinks to selected HA webpages, self-learning log were introduced in Q2 2023.

User acceptance test on eTraining was conducted in Q3 2023 and the system was implemented in Q4 2023.
Result & Outcome :
Encouraging results were received throughout on trial and acceptance test periods as evidence by active staff participation, constructive feedback stating an independent learning were achieved and improved staff job satisfaction.
Further developed functions of integrating staff information, such as personal IT accounts, work groups, duty and staff card access right into eTraining to facilitate new staff induction will be introduced in 2024.

The eTraining project had awarded the best oral presentation in KWC Q&S Forum 2023, and will be collaborated with hospital & cluster IT team for development into a web-based program in the future.
