Introduction :
Using computer to access patient’s medical record plays a crucial role in medical and health industry. Over the years, Community Nursing Service (CNS) have been required to manually input a 12-digit case number to access patient data from the Clinical Management System (CMS). However, nursing staff voice out that it is commonly to have typing error during data entry which need to re-enter and caused time consuming. This situation, hinder the efficiency and increase the risk of patient misidentification. In this concern, community nurses constantly seeking ways to improve operational efficiency and accuracy. Hence, a program for smart office was introduced into the workplace.
Objectives :
Minimize errors and increase efficiency of inputting case number to enhance patient safety. Provide handy and reliable barcode scanners for all CNS desktop station. By application of barcode scanners, CNS can improve the accuracy, reliability, and efficiency of their daily operations, ultimately benefiting both patients and healthcare providers.
Methodology :
- Explored suitable barcode scanner in Feb 2023.
- Purchased and installed suitable barcode scanner for every colleague and clerical staff on their desktops.
- Total 45 barcode scanners installed.
- Provided briefing of usage and benefits of using barcode scanner to colleagues.
- Staff satisfaction survey was conducted after 2 months to collect staff opinion.
Result & Outcome :
Result
1. After 8 weeks running the project, satisfactory survey was done, return survey is 39 out of 45.
2. Staff satisfaction survey was performed to review colleague’s opinion. All the staff had positive feedback on the use of barcode scanner.
3. 94.9% agree barcode scanner improves efficiency of data input in CMS.

Conclusion
The implementation of barcode scanners in the CNS office has led to significant improvements in both accuracy and efficiency in data entry. By reducing the steps required to access patient data, the new device has simplified the approach, enabling community nurses to swiftly retrieve patient information with minimal effort. This, in turn, has had a positive impact on the accuracy of data input and has contributed to enhancing patient identification processes. The reception from colleagues has been overwhelmingly positive, with the new smart office installation being warmly welcomed and readily accepted.
